As a flexible dry hire venue, weddings at Moat Hall Barns often involve multiple different suppliers working together on your wedding day. Our coordination service allows you to relax knowing that we are overseeing the logistics, communicating with suppliers, managing timings and handling any last minute changes behind the scenes.
Since opening in 2023, Moat Hall Barns has hosted over 100 weddings, giving us invaluable experience in how wedding days flow best at the venue. From supplier management and venue setup to timelines and guest experience, we are here to ensure everything runs smoothly from start to finish. Amy and Minnie will work closely with you throughout the planning process and across your wedding celebrations, providing a dedicated point of contact for guidance, support and coordination along the way. Our goal is simple. We want you, your family and your guests to be able to fully relax and enjoy every moment of your wedding day while we take care of the details behind the scenes.
The service is available exclusively to Moat Hall Barns couples and can be added at any stage of your wedding planning journey.
The price of the wedding coordination service is £800 inclusive of VAT.
Assistance With Suppliers, Timeline, and Initial Plans
- Initial call to discuss your vision, preferences and any special requirements.
- Guidance on selecting suppliers best suited to your style, priorities, and budget.
- Support creating your wedding day timeline and venue layout.
Consultation, Budget Review & Staffing
- On-site consultation for you to visit the venue and discuss all aspects of your wedding day​.
- We begin liaising with your suppliers regarding timings and logistics.
- Advice and guidance on venue styling.
- Creation of a clear wet weather contingency plan.
- Assistance with sourcing event staff (where required).
Handover
- Handover of communications with your suppliers for the month leading up to your wedding.
- Your full wedding day timeline finalised and shared with suppliers.
Refreshments, Dining Furniture, Final Meeting & Final Handover
- Dining furniture arranged according to your chosen seating plan ready for your arrival.
- On hand to oversee the set up of the venue and support with any final details or decisions.
- Point of contact for any suppliers setting up or delivering on your set up day.
- Refreshments on arrival at the venue.
- Meeting to confirm final details and discuss any last minute changes.
Wedding Day Coordination
- Meeting with registrars/celebrants in preparation for your wedding ceremony.
- Outdoor ceremony furniture and decoration set up, with your reserved seating arranged to your requirements.
- Relocation and setup of decorations and activities, including lawn games, throughout the day.
- Management of supplier arrivals, deliveries, and setup.
- Coordination of music throughout your wedding day including ceremony and wedding breakfast.
- Setup and assistance with sound equipment for your speeches.
- Ensuring your day runs smoothly and in line with your timeline.
- Coordination and execution of room changes, including a full room reset with any necessary decoration changes (where required).
- Coordination of key moments throughout your day including your ceremony, confetti shot, group photos, meal, speeches, cake cutting and first dance.
- Guiding guests throughout the day, including seating for ceremony and wedding breakfast.
